Job Specifications Duties and Positions Administrative Tasks: Office Management: Make a warm and courteous first impression on clients and guests. Answer incoming calls, emails, and letters and forward questions to the relevant team members. Keep track of the inventory of office supplies and place orders or refills as needed. Help real estate agents with their administrative needs, such as scheduling, document preparation, and correspondence. Plan and arrange meetings, appointments, and property tours. Maintain client databases and filing systems, making sure that the information is correct and current. Client Relations: Deliver first-rate customer care by answering questions from clients and quickly resolving problems. Help with the creation of presentations, property listings, and marketing materials. Organize property showings and open houses. Data management involves entering and updating real estate listings on internet platforms and multiple listing services (MLS). Assemble and manage databases, spreadsheets, and reports pertaining to real estate listings, sales, and client data. Additional Tasks: Help with the creation of expense reports, invoices, and financial paperwork. When necessary, work together on unique projects and efforts with other team members. Execute routine administrative duties like scanning, photocopying, and filing.
