Job Description This is a summary of the job.
The Job
With help from the Front Office Manager or the Night Manager, and following Accor’s rules, your job is to give friendly, quick, and good service while also trying to sell extra services. To work well with others and make sure every guest is happy and wants to come back.
You should know all of Accor’s rules and standards, both the company-wide ones and the local ones, and make sure everyone follows them. He/She is in charge of managing the front desk operations to meet hotel standards and make sure guests are happy, working under the Front Office Manager to help achieve their goals. Must help complete tasks and goals listed below:
Main Tasks and Duties
Planning and Organizing
Check and update the Logbook.
Check the tools.
Be smart, clean, and always stay friendly and cheerful.
Manage daily activities.
Tell the Supervisors or Night Manager about what’s happening regularly if they are working.
Watch how well employees are doing and help them improve.
Fire Procedure 1 Stay Calm: If there is a fire, try to stay calm and think clearly. 2 Alert Others: Tell everyone nearby about the fire if you can do so safely. 3 Call for Help: Call emergency services or pull the fire alarm if it’s available. 4 Evacuate: Leave the building quickly and follow the exits. Do not use elevators. 5 Stay Low: If there is smoke, stay close to the ground where the air is clearer. 6 Do Not Go Back: Once you are outside, do not go back inside for any reason. 7 Wait for Help: Stay in a safe place away from the building and wait for emergency responders. Remember these steps to stay safe in case of a fire.
Basic First Aid Steps
Take care of guest problems and tell the manager.
Put in place and manage the Accor Standards.
Act according to Accor’s standards and follow the company’s values and main behaviors.
Know all about the Talk of the Walk for today.
Always keep yourself well-groomed.
Go to training classes as planned.
Work together fully and treat each other with respect in the team and with other departments.
Everyone knows about the daily activities and is familiar with the hotel services and facilities.
Make sure to print the panic report at least two times during the shift.
Operations:
Get ready for new guests each day by arranging their rooms and checking for any special requests they might have.
Sign in and handle check-in for everyone who arrives.
After checking in a guest, update and verify their information in the computer.
Responsible for handling cash, foreign money exchanges, checking the accounts at night, and settling bills when guests leave.
Takes care of walk-in reservations at the front desk whenever needed and processes phone reservations when the room booking section is closed.
Give friendly and polite service to guests and quickly answer all their questions and requests at all times.
Handle guests’ complaints and requests, talk to the right department to get it fixed right away, and inform the supervisors right after.
Manage the distribution of guest room key cards and make sure they are used safely for the security of guests.
Look for and pass on messages to the guests.
Help at the Information counter, Foreign Exchange, Night Audit, and the Business center whenever needed.
To review the paymaster and help Supervisors ensure there are no unpaid paymasters.
Check the log book, make sure everything is correct, and follow up on anything that is still unfinished. Check if there are any special tasks for today.
Check the hotel’s status, how full it is, events, groups, important guests (MIPs/VIPs), and other guests (RIPs).
Organize and file the daily reception report and documents neatly.
Print the panic report at least two times during each shift.
Go to meetings, write down important points, and follow up afterward.
Pay attention to the guests, look at them while they speak, and make sure to greet everyone at the desk.
At the end of your shift or day, share all the important information that the next shift needs to keep things running smoothly.
Work together and share information with the Front Office, Housekeeping, Food & Beverage, and especially the General Manager about important guests and very important guests.
He/she knows all the important company documents, especially the Accor Standards that apply to their job.
Always looking neat and tidy.
Encourage customers to buy more.
Do any other sensible tasks that are asked of you, even if they aren’t listed here.
Basic Information on Cleanliness / Personal Safety / Environment / Privacy:
Take good care of all the equipment and furniture given for Heartists to use.
Know the hotel’s rules and procedures, understand the layout of the hotel, and be aware of emergency plans for situations like fires, medical emergencies, bomb threats, power outages, and evacuations.
Understands the safety rules and makes sure they are followed to keep people and property safe in the hotel.
Follows and makes sure the hotel keeps its promises in the “Environment Charter” which includes saving energy, recycling, and sorting garbage.
Follows the rules in the Heartists Handbook and the hotel’s policies on fire safety, cleanliness, health, and safety very carefully.
Make sure that private records and other secret information are kept safe and are not taken out of the office.
Does not share any money details or any other information about Accor Hotels.
Requirements
Hotel Management Graduate means someone who has finished studying how to run hotels.
More Information
Good at working with others and solving problems.
Experience with Front Desk Work.
Prefer someone who speaks Russian.
