Job Summary:
The F&B Admin Secretary has an important job in helping the Food & Beverage department. They handle office tasks, organize communication, and make sure everything runs smoothly in the department. This job needs great organizational skills, careful attention to details, and the ability to work on many tasks at the same time.
Main Duties:
Help with office tasks.
– Help the F&B Manager and the team by organizing schedules, meetings, and emails.
– Keep and update records of food and drink activities, such as reports, memos, and messages.
Talking and Working Together:
Be the main contact person between the food and beverage department and other departments, guests, and suppliers.
Plan and organize meetings, events, and training sessions, making sure everything is set up properly.
– Answer phone calls, emails, and questions quickly and in a friendly way.
Writing and Reporting:
Keep correct and current records of stock, orders, and supplier details.
Make and share weekly and monthly reports about food and drink performance and activities.
– Help with making budgets and financial reports.
Planning and organizing events and meetings.
Help plan and run food and drink events by working with suppliers and handling event details.
– Make meeting plans, write down what was discussed, and check on tasks that need to be done after the meetings.
Office Management: Keeping an office running smoothly.
Make sure the F&B office runs well by taking care of office supplies, equipment, and filing.
– Take care of paperwork like invoices, purchase orders, and expense reports.
Guest Relations: Helping and taking care of guests.
– Respond to guest questions and complaints politely and quickly to keep them happy.
– Help the food and beverage team provide great service and experiences for guests.
Rules and Guidelines:
Follow the company’s rules and guidelines to make sure we meet health, safety, and legal requirements.
Help with audits and inspections by making sure all documents and processes are organized.
Candidate Profile Wanted
Qualifications: What you need or require.
– Education: Must have a high school diploma or similar. Extra training in hospitality management or business is a bonus.
– Experience: At least 2 years of work experience in an office job, preferably in food and beverage or hospitality.
Abilities:
Skilled in using Microsoft Office tools like Word, Excel, PowerPoint, and Outlook.
Good at managing tasks and staying organized.
Great at writing and speaking clearly.
Can work alone and also with others in a group.
Careful and precise.
A good attitude and strong people skills.
Work Environment:
An office setting in a fancy resort.
Regular work hours, but sometimes you’ll need to be flexible for events and meetings.
May include some physical tasks, like moving office supplies and equipment.
