Job goal

The Personal Assistant works under the Chief Executive Officer at Yamanote Atelier Restaurant. They help by scheduling meetings, taking notes, writing letters, and doing various administrative tasks for the company.

Tasks and jobs to do

Keeping track of schedules and setting up meetings and appointments.
Planning events and meetings.
Reminding the manager or boss about important jobs and due dates.
In charge of planning meetings inside and outside the company and making sure everything needed is ready. Place for the meeting, tools, talks, and plan the schedule.
Watch and reply to messages coming into the office, like phone calls, emails, and people visiting, and make sure they go to the right department.
Helping with meetings whenever needed, like creating and sending out meeting plans, writing notes of what was discussed, reminding people about the meetings, confirming where they will be held, and organizing snacks and drinks.
Send meeting reminders and reports to the Board and Committee members, as well as their assistants.
Make sure the meeting places are booked, organize snacks and drinks, and write and share clear notes of the meeting, including decisions made, with all members after the meeting.
Writing and sharing detailed notes and action items with everyone after the meeting.
Creating clear and well-written reports and presentations.
Share important updates and information.
Follow up and work with the PRO and the relevant managers to renew the trade license and other permits.
Keep important papers like contracts and receipts organized and in order. Keep the index updated.
Pick up, manage, and pass on incoming phone calls.
Guide visitors to the right person and office.
Get, organize, and share daily mail and packages.
Make sure the reception area is clean and looks nice, with all the needed supplies and materials. Pens, forms, and brochures.
Keep the office safe by following safety rules and checking who comes in at the front desk (keeping a logbook and giving out visitor badges).
Do other office tasks like organizing papers, making copies, typing documents, and sending faxes.
Take care of the Central Office budget for things like office costs, supplies, paper, and entertainment.
Talking and working with staff, suppliers, and clients.
Keeping track of databases and organizing files.
